PLRB has a firm commitment to and takes the privacy of our members and partners seriously. We have outlined our privacy policy below around ways you may interact with us, share how we may acquire your information, use it and allow you to edit or remove it.

How PLRB Acquires Your Information

Information about You

PLRB collects your name, contact details, and professionals credentials for purposes of providing association services. PLRB also uses this information to provide you paper and electronic communications with industry news, weather and catastrophe news, educational content, and information on upcoming meetings, conferences, distance learning courses, and webinars. PLRB likewise collects information from speakers and presenters along with CVs and presentation materials. PLRB asks participants to volunteer emergency contact information. If a attendee is bringing a spouse or similar guest to functions, PLRB asks for the name. PLRB captures audio-video and photographs of its events.

Credit card details are not saved by PLRB and are processed by a reputable credit card service though secure channels. Billing paperwork is kept seven years.

 

E-mail, Postal Mail, Phone Contact, and Use of Contact Information

First, PLRB provides some services to members through contracted relationships. PLRB will provide minimally required information to such vendors to allow access for members to these services. Next, PLRB also allows conference and event registrants and presenters to voluntarily choose to allow information to be provided to exhibitors at PLRB events. Such approval must be given affirmatively. If permission is granted, PLRB shall provide contact information to exhibitors as authorized.

Furthermore, management of individual PLRB member companies has access to certain management pages on the PLRB website. In general, management at member companies can learn which of their employees have passwords, subscribe to electronic publications, submitted questions, attended PLRB educational events, and other information regarding usage by those using passwords associated with their company.

Finally, PLRB reserves the right to transfer this information along with other assets in the event the organization or its assets are ever purchased by or merged with another organization.

 

How We Share Your Information

The PLRB conference app, which is operated by a third-party provider, contains social media options which allows participants to share photos and contact information with others. The app also allows you to download presenter information, handouts, and your customizable conference schedule. You may elect to have your data including your schedule downloaded from PLRB servers to the conference app.

PLRB does not sell your information to other organizations for use in their direct marketing or any other use. The only exception is that PLRB shares conference and event registration lists with attendees, presenters, exhibitors, and sponsors for business, networking, and educational reasons that help make for a successful event. Those shared registration lists do not contain email addresses unless a participant expressly consented to such use.

PLRB prints your name, credentials, and schedule on badge stock. Name badges must be worn at all events.

Where PLRB educational participants request continuing education credits for participation, PLRB provides state authorities information provided by you and the course as requested by that agency.

PLRB works with others that process your data such as webinar hosting services, conference app vendors, and similar providers. Agreements with such vendors limit use and storage of personal information only for PLRB business and also require secure processing and storage with defined retention periods and destruction.

For event speakers and presenters, PLRB shares attendee survey results with the conference planning committee.

PLRB shares exhibitor, sponsor, speaker, and presenter information with the conference App design and implementation team so that they can make it available for the event to others. The app also includes a list of registrants. You may share more details via the social networking functions on the app. PLRB does not use that information beyond the app.

PLRB may share your information confidentially with hotel staff for the sole purpose of auditing room block commitments.

PLRB shares event audio-video materials on social media and marketing materials. Some courses are recorded in entirety and used in distance learning courses or informational online video resources.

Requests for special dietary needs are shared with food services providers. Requests for accommodations are shared with the facility operators and vendors that provide services to assist with accommodations.

Emergency contact information would only be used in the event of an emergency.

PLRB Web servers automatically recognize the Internet Protocol (IP) addresses of visitors to our sites. PLRB collects aggregate information on the dates and times people visit our sites, IP addresses, pages visitors accessed or visited (note: PLRB does not always know which exact pages were visited by particular individuals), operating systems and Web browsers visitors use to access our sites, and the sites that refer visitors to us (e.g., search engines). For purposes of improving search results, PLRB will examine search terms and query results plus satisfaction data.

The information PLRB collects is used to improve the content of its Web sites, monitor compliance with terms of use, customize the content and layout of our pages for individual visitors, notify visitors about updates to our system, and improve the user experience.

PLRB uses a third-party web application firewall to help maintain the security and performance of our website. The service checks that traffic to the site is behaving as would be expected. The service will block traffic that is not using the site as expected. To provide this service, the system processes site visitors’ IP addresses. The data is saved for a limited time.

Purpose and legal basis for processing

The purpose for implementing all of the above is to maintain and monitor the performance of our website and to constantly look to improve the site and the services it offers to our users. The legal basis we rely on to process your personal data is article 6(1)(f) of the GDPR, which allows us to process personal data when its necessary for the purposes of our legitimate interests.

For prospective and current insurer and affiliate members, PLRB collects billing information, leadership details, committee involvement details, employee subscriber details, employee subscriber course transcripts, and employee usage details. The information is shared internally at PLRB, and each individual company’s information is shared with each company’s designated member company administrators.

The PLRB sites use forms for individuals to request information and services and to register for events. PLRB collects each visitor’s contact information and method of payment. Contact information from the order form is used to process orders or registrations. User payment information that is collected is used to check the user’s qualifications and bill the user for products and services. Users should not send credit card information to PLRB. Credit card payments should be done using secure connections to payment providers.

Children’s Guidelines
